REFUND AND CANCELLATION POLICY
NexClix, Inc.
Travel and Tour Packages
Effective Date: June 17, 2025
1. INTRODUCTION
This Refund and Cancellation Policy outlines the terms and conditions regarding cancellations, refunds, and changes to bookings for travel and/or tour Package(s). By booking travel and/or tours with us, you agree to the terms set forth in this policy.
2. BOOKING AND DEPOSITS
2.1 Deposit Requirement
A non-refundable deposit of $350.00 of the total tour cost is required to secure your booking.
2.2 Final Payment
Full payment is due 60 days prior to departure. For bookings made less than 60 days before departure, full payment is required at the time of booking.
2.3 Payment Methods
We accept the following payment methods:
- Credit cards (Visa, MasterCard, American Express, Discover)
- Bank transfers
- Certified checks
3. CANCELLATION BY TRAVELER
3.1 Cancellation Process
All cancellations must be submitted in writing to NexClix, Inc. via email to cancellations@nexclix.com. The date of receipt of the cancellation notice will determine the applicable cancellation fees.
3.2 Cancellation Fees
The following cancellation fees will apply based on the number of days before departure:

| 30-59 days before departure | 75% of total tour cost |
| Less than 30 days before departure | 100% of total tour cost (no refund) |
3.3 No-Show Policy
Failure to show up for the tour without prior cancellation notice will result in forfeiture of the entire tour cost with no refund.
4. CHANGES TO BOOKINGS
4.1 Changes by Traveler
4.1.1 Name Changes
- Changes to traveler names must be submitted in writing at least 45 days prior to departure
- A name change fee of $150 per person will apply
- Name changes are subject to airline and supplier policies and may not always be possible
4.1.2 Date Changes
- Requests to change departure dates are treated as a cancellation and rebooking
- Standard cancellation fees will apply
- New booking is subject to availability and current pricing
4.1.3 Itinerary Changes
- Requests for minor changes to the itinerary after booking may be accommodated at our discretion
- An administration fee of $100 per change will apply
- Additional costs imposed by suppliers due to changes will be passed on to the traveler
4.2 Transferability
Tours are non-transferable to other persons unless approved in writing by NexClix, Inc..
5. CANCELLATION BY NexClix, Inc.
5.1 Tour Cancellation
NexClix, Inc. reserves the right to cancel any tour prior to departure for any reason, including:
- Insufficient participants (minimum 9 participants required)
- Force majeure events
- Safety concerns
- Operational issues
5.2 Refunds for Company Cancellations
In the event NexClix, Inc. cancels a tour, we will offer you one of the following options:
5.2.1 Standard Cancellations (Not Force Majeure)
For cancellations due to insufficient enrollment or operational reasons:
- Full refund of all payments made
- OR
- Travel credit equal to 100% of the amount paid, valid for 18 months for any NexClix, Inc. tour
5.2.2 Force Majeure Cancellations
For cancellations due to force majeure events (as defined in section 6):
- Travel credit equal to 100% of the amount paid, valid for 18 months
- OR
- Refund of recoverable costs (total paid minus non-refundable expenses already incurred by NexClix, Inc.)
5.3 Notification of Cancellation
We will notify travelers of any tour cancellation at least 30 days prior to departure, except in cases of force majeure where notice may be shorter.
6. FORCE MAJEURE
6.1 Definition
Force majeure refers to unusual and unforeseeable circumstances beyond the control of NexClix, Inc., including but not limited to:
- Natural disasters (hurricanes, earthquakes, floods)
- War, civil unrest, or terrorism
- Government actions or travel advisories
- Public health emergencies or pandemics
- Strikes or labor disputes
- Mechanical failures or transportation issues
- Other extraordinary events that significantly impact travel safety or feasibility
6.2 Compensation
NexClix, Inc. is not liable to pay compensation for any cancellation or changes due to force majeure events.
7. TRAVEL INSURANCE
7.1 Requirement
We strongly recommend that all travelers purchase comprehensive travel insurance that includes trip cancellation/interruption coverage.
7.2 Coverage Recommendation
Your travel insurance should include coverage for:
- Trip cancellation and interruption
- Medical emergencies (minimum $100,000)
- Emergency evacuation and repatriation
- Travel delays and missed connections
- Baggage loss or delay
- Cancel for any reason coverage (optional)
7.3 Proof of Insurance
Travelers may be required to provide proof of travel insurance prior to departure.
8. REFUND PROCESS
8.1 Refund Methods
Refunds will be processed using the same payment method used for the original booking, unless otherwise specified.
8.2 Timing of Refunds
- For company-initiated cancellations: Refunds will be processed within 14 business days
- For traveler cancellations: Refunds will be processed within 30 business days from the date of cancellation
8.3 Partial Refunds
If a traveler leaves a tour after it has commenced, no refunds will be issued for unused portions of the tour.
9. SPECIAL CIRCUMSTANCES
9.1 Medical Emergencies
In case of cancellation due to documented serious illness or injury of the traveler or immediate family member:
- We may offer a partial refund or credit at our discretion
- Documentation from a licensed medical professional is required
- Travel insurance is the primary source of compensation for such circumstances
9.2 Visa Denials
If a traveler is unable to obtain the necessary visa for our destinations despite following all application requirements:
- Documentation of visa denial must be provided
- A refund may be issued less a $250 administration fee and any non-refundable expenses
- Travel insurance is recommended to cover this potential issue
10. CHANGES TO THIS POLICY
NexClix, Inc. reserves the right to modify this Refund and Cancellation Policy at any time. Any changes will be effective immediately upon posting the updated policy on our website. For existing bookings, the policy in effect at the time of booking will apply.
